Using the Password Manager and Password Log Tools
Managing multiple logins for tools, platforms, and client accounts can quickly become a burden and lead to lost time, poor security practices, and collaboration bottlenecks.
This guide will walk you through the features of the Passwords Vault, how to use them effectively, and how they can transform your day-to-day operations.
What’s Included in the Passwords Vault
The Passwords Vault is made up of two key tools:
- Password Manager – Save, organize, and securely share passwords.
- Password Logs – Track all activity related to credentials for transparency and security.
Together, these tools provide a centralized, encrypted solution for password management within your team or organization.
The Password Manager
The Password Manager helps you manage login credentials for both personal use and team collaboration. From saving passwords for your own accounts to sharing access to client tools with teammates, this tool keeps everything organized, accessible, and secure.
Key Features
- Personal vs Shared Credentials – Mark credentials as:
- Personal: Only visible to you.
- Shared: Visible to users associated with the client or specific users you choose to share with.
- Custom Password Generator – When adding or editing a credential, users can generate a strong password automatically using the built-in password generator. The generator allows customization of length and the inclusion of numbers and special characters to meet specific security requirements.
- Search & Filter Options – Easily find credentials by Type: Personal or Shared or Client Status: Enabled, Disabled, or All
The password list is displayed in a user-friendly table format. The table provides a clear and organized view of all saved credentials and makes it easy for users to manage and access the information they need.
Each row in the table represents a saved credential and displays key details such as the associated Client, Account name, Username, and Notes added by the user. It also shows the Server URL for quick reference, along with the Last Updated information, which includes the date and time of the most recent update and the name of the user who made the change.
Under the Username field, users can quickly copy the username or password and securely share the credential with other users via the Share option.
To the right of each entry, there is a three-dot icon that opens the Actions menu, where you’ll see a set of options as follows:
- View Logs – Opens the activity history for that specific credential. This log shows who accessed, copied, modified, or shared the password, along with timestamps. It's a useful tool for tracking changes and ensuring accountability, especially for shared credentials.
- Edit Credential – Allows you to update any part of the saved credential, including the username, password, notes, or server URL. You can also regenerate a secure password if needed.
- Manage Access – This option lets you control who can view a shared credential. It displays a list of users the password has been explicitly shared with using the Share feature. From this list, you can easily add new users or revoke access from existing ones. Keep in mind that users who are already assigned to the associated client or designated as project managers automatically have access to the credential and will not appear in this list.
- Delete Credential – Permanently removes the saved credential from the Password Vault. Use this option when an account is no longer in use or needs to be removed for security purposes.
Adding a New Credential
To add a new password:
- Click Add Credentials.
- Choose if it's Personal or Shared.
- Enter:
- Client
- Account Name
- Username
- Password (You can auto-generate one. Use the slider and toggles to create a secure password)
- Server URL
- Optional: Notes
The Password Logs
The Password Logs feature provides a detailed record of all password-related actions, helping ensure transparency, security, and accountability across your team. It captures every key activity related to credential management, including:
- Creating new credentials
- Editing existing passwords
- Accessing passwords (viewed, copied, or shared)
- Granting or revoking shared access
These logs give teams full visibility into how credentials are used, making it easier to monitor usage patterns, detect unauthorized access, and maintain secure practices.
All activity is displayed in the Password Log Table, which includes key details such as the Log ID, the User who performed the action, a Description of what was done, the associated Account and Client, and the Timestamp of the activity.
To make navigation easier, the table includes built-in search and sort tools, allowing you to quickly find specific entries by user, client, or action. This makes reviewing access history simple and efficient for both administrators and team leads.
Secure Sharing of Passwords
One of the most powerful features of the Password Manager is the ability to share credentials securely. Shared credentials are accessible to:

- Project managers of the client
- Any additional users you explicitly share with
Users can copy credentials and log in without needing to ask for access separately. Password sharing is encrypted and monitored, eliminating the need to send sensitive information via email or chat. This makes cross-functional work and onboarding faster, smoother, and more secure.
